Overview

AktivBo developed Action Plans 2.0 to gather data for an automatic action prediction system. The goal was to enhance predictive capabilities by analyzing trends, while redesigning the tool based on customer feedback.

This approach aimed to boost user engagement and drive better outcomes through continuous measurement and collaboration.

Highlights

Impact of Design Enhancements

The redesigned project creation modal and personalized views significantly improved data collection and user engagement, fostering better decision-making and continuous improvement. Card layouts enhanced visual hierarchy, while a comprehensive dashboard provided clear project overviews, improving tracking and communication. The optimized filter system and navigation menu streamlined user experience, making data management more efficient.

Overall, these design enhancements led to more informed project management and actionable insights, driving better outcomes for users and clients.

The problem

Revamping Action Plans for Predictive Power and User Engagement

The platform lacked advanced predictive capabilities and didn’t fully engage users, leading to inconsistent participation and suboptimal outcomes. There was a need to redesign Action Plans to better meet customer demands, enhance data collection, and foster ongoing user engagement, ultimately improving the ability to predict and drive successful actions for customers.

Insights

“We'd be more eager to embrace the current system if it offered a broader array of options for organising projects and tracking results over time. Currently, the process of detailing a project involves an unnecessary number of clicks... ” - Interview Participant

To understand user behaviors, the team conducted group interviews with companies, including international markets like Germany. Insights led to the creation of two personas. Additionally, business goals were evaluated, focusing on potential upsell opportunities and future features like predictive models, considering that Action Plans 2.0 was a free upgrade.

Ideation

Finding structure amidst the chaos.

Key findings included designing a dashboard to monitor project statuses and expenses, redesigning project navigation, creating separate card and list views, and adding a personalized view to display actions connected to specific users. Another important finding was the need to allow users to follow up on efforts during a project phase by measuring tenant satisfaction before, during, and after the project. These findings necessitated extending the design system to incorporate additional states.

Evaluating user flow

How do you evaluate user flow? By employing flow analysis methods

To address issues identified in user interviews, I developed a user flow diagram based on the existing tool. Key solutions included optimizing the flow by eliminating redundant steps and pre-filling fields to streamline the action creation process. Additionally, by making the connection between questions and actions mandatory, we improved data collection and set the stage for developing a model to recommend actions. These changes not only enhanced user experience but also opened up new opportunities for actionable insights.

Benchmarking

Comparing current project management solution with Planima and Excel

Comparing Analytics to other platforms is often inconclusive, as few focus on both tenant satisfaction and project management. While Planima and Excel don't prioritize tenant satisfaction, they can complement analytics, making their exploration valuable for insights.

Analytics is a simple, monolithic platform with basic task management and limited time tracking. It lacks dashboards, workload views, and cost estimation features, unlike Planima and Excel, which are commonly used by property managers. While Planima and Excel offer specialized features, they are limited in connecting results with project management. This presents an opportunity for Analytics to tightly integrate tenant satisfaction data with action plans, enhancing project management and increasing user participation within the platform.
